Position : Senior Project Manager / PMO Specialist Location : Bonn, Germany Field : Defence Type : Full-time/40% Remote Project / Department Overview The role is part of a project management environment focused on application and platform projects in the areas of mobility, security, and mission-related IT. The position supports project leadership in a project aimed at optimizing internal processes in the area of contract controlling. The Senior Project Manager / PMO Specialist will be responsible for organizational and administrative project support, project documentation, data maintenance, reporting, meeting coordination, project communication, risk and change documentation, and the independent handling of assigned project tasks. Responsibilities The Senior Project Manager / PMO Specialist will be responsible for the following tasks:
- Act as the central contact person for organizational and administrative tasks within the project.
- Support the achievement of project objectives regarding schedule, cost, and quality.
- Maintain and follow up on open-items lists according to project requirements.
- Review Jira tickets for completeness of documentation according to defined project standards.
- Create, maintain, quality-check, coordinate, and update project documents according to the applicable project management methodology.
- Maintain documentation related to risks, changes, project status, and project deliverables.
- Manage and maintain project filing structures in collaboration platforms such as SharePoint and MS Project.
- Update and organize project repositories and project documentation.
- Create and edit project presentations and project status reports according to project requirements.
- Coordinate, prepare, and follow up on project meetings and governance meetings.
- Create, coordinate, and archive meeting minutes.
- Independently take responsibility for assigned project tasks or work packages.
- Coordinate required resources for assigned project activities.
- Support project leadership with PMO activities, reporting, data quality, documentation, and operational project execution.
- Completed degree in business administration, business informatics, computer science, or a comparable IT-related field.
- Alternatively, completed commercial vocational training or recognized IT vocational training combined with relevant professional experience.
- Candidates without a university degree should have at least 6 years of relevant professional experience .
- Knowledge of common project management standards.
- Valid project management certification, such as IPMA Level D or an equivalent certification.
- At least 5 years of experience as a project team member in IT projects using classical, hybrid, or agile project management methods.
- Experience in reporting and project status documentation.
- Experience in change management and risk management.
- Experience in project planning and project tracking.
- Experience managing deliverables and project dependencies.
- At least 5 years of experience preparing, organizing, conducting, and documenting project meetings and governance meetings, such as steering committees or customer meetings.
- Experience creating and coordinating meeting minutes, project reports, presentations, and decision documents.
- Experience using project management tools such as Jira, SharePoint, Confluence, MS Project, or Project Server.
- Experience with Microsoft Office tools, especially Word, Excel, PowerPoint, and Outlook.
- Experience in PMO environments and administrative project coordination.
- German: C1 level according to CEFR.
